Workforce attendance and HR management by PlexiTech
MyWork is a workforce attendance and HR application provided by PlexiTech ("we", "us"). It is supplied to organisations for use by their own employees — it is not a consumer product, and you will normally receive your login from your employer rather than creating one yourself.
Your employer is the controller of your personal data. They decide what is recorded, which features are switched on, and how long records are kept. PlexiTech acts as a processor: we operate the software and store the data on your employer's behalf, and we act on their instructions. If you want your data corrected or deleted, contact your employer's HR or administrator first — they hold those controls. Our contact details are in section 11 if you cannot resolve it that way.
Provided by your employer when your account is created, and shown to you in the app: your name, employee number, work email address, phone number, department, position, joining date, employment status, and your assigned work shift and location. Your username and password are used to sign you in.
Check-in and check-out times, attendance status, leave requests and balances, compensatory-off and work-from-home requests, timesheet entries against projects, expense claims and any receipt images you upload, payslips and payroll figures, and approvals you submit or receive.
MyWork collects your device's precise location, together with the accuracy of that reading, your device's battery level, and the time of the reading. This happens in two ways:
If your employer has enabled photo verification for field attendance, the app asks you to take a selfie when you check in or out. That photo is uploaded and stored against the attendance record so your employer can confirm attendance. You may also attach photographs of receipts to expense claims. The app only accesses your camera when you actively take one of these photos.
We record an identifier that the app generates for your installation (a random value created on first launch), whether your device runs Android or iOS, and a push-notification token supplied by Google Firebase Cloud Messaging so we can deliver notifications to you. The installation identifier is used to recognise your device when you sign in; it is not a hardware or advertising identifier, and it is erased when you uninstall the app.

We do not use your information to build advertising profiles, and we do not make automated decisions that produce legal effects about you without human involvement.
Where data-protection law requires a legal basis, your employer relies on the performance of your employment contract, on compliance with legal obligations such as payroll, wage and working-time records, and on its legitimate interest in maintaining accurate attendance records and supervising field work. Where your employer relies on consent — for example for photographic verification in some jurisdictions — you will be asked for it and may withdraw it.

Some of these features are required by your employer for attendance to be recorded correctly. Turning them off may mean you cannot check in, and you should speak to your employer before doing so.
Depending on where you live, you may have the right to access the personal data held about you, to have inaccurate data corrected, to request deletion, to object to or restrict certain processing, and to receive a copy of your data in a portable format. Because your employer controls this data, please direct such requests to your employer's HR team or administrator, who can action them directly. We will support them in responding.
Retention is set by your employer, and attendance, payroll and leave records are typically kept for as long as employment-law and tax rules require — often several years after you leave. Background location history is normally kept for a shorter period, as configured by your employer. When a retention period ends, records are deleted or anonymised.
No system can be guaranteed completely secure, but we work to protect your data and to address any incident promptly.
MyWork is a workplace tool intended for employed adults. It is not directed at children, and we do not knowingly collect personal data from anyone under 16.
